Charlotte AutoFair

Spring Meet - Fall Meet

Presented by

Hornets Nest Region, AACA

Lowe’s Motor Speedway

Thank you for joining the Hornets Nest Region, AACA, for our presentation of Charlotte AutoFair in April and September.  These Event Regulations have been developed over a period of time to help you as a participant enjoy our event.  Please be considerate of others and let us help you enjoy Charlotte AutoFair even more every year.  Please offer any comments and suggestions to our Office.  Thanks again for your consideration.

Vendor Pass

1.      You must have a Vendor Pass or an admission ticket to enter the fenced area enclosing the Green Field, Red Field, Blue Field, Orange Field and Car Corrals or Speedway Infield.  No admission check is required of those walking between Fields.

Vendor Responsibility

2.      Food and beverage sales and services, souvenir sales, etc, are rights reserved by Lowe’s Motor Speedway.  Your registration and attendance indicates your agreement that… “As a Vendor, I understand I can’t sell T-shirts, caps, sunglasses, hats, clothing, jewelry, watches, rings, beads, belt buckles, patches, shoes, boots, food, drink, cassette tapes, new NASCAR racing related souvenir items unless commissioned with Lowe’s Motor Speedway.”  Vendors may sell NASCAR collectibles that are five years old, or older, with no commissions.

3.      As a Vendor and participant, I understand the Hornets Nest Region, AACA and Lowe’s Motor Speedway accept no liability for any injury to persons or damage to property or thefts incurred by my accepting space assignments or renting tents or portable toilets for the event.

4.      Fees are for your space only.  The Hornets Nest Region, AACA assumes no responsibility for any personal injury, damage or loss by fire, theft, or any other cause whatsoever.

Medical Emergency

5.      Phone 911 for a medical emergency or contact a Speedway security official or a Hornets Nest Region, AACA official 7:00 AM - 5:00 PM.  Overnight, 5:00 PM to 7:00 AM, Phone 911 for medical assistance.  Speedway security is always at Gate 26 – the Underpass entrance - exit.  The Underpass is open for Vendors with credentials at all times.

6.      Safety is a primary concern with a large crowd and motor vehicle (including Golf Cart) movement.  Anyone operating a motor vehicle of any kind in an unsafe manner is subject to removal from the Event.

General Requirements and Conditions

7.      Traffic movement should be minimized for the safety of everyone attending the Event.

8.      “Cruising” traffic is not permitted anytime in the Flea Market or Car Corral.  Cruisers are subject to loss of event registration and/or removal from the grounds during the Event.

9.      Disorderly or intoxicated persons will not be tolerated and will be removed.  Use of foul and objectionable language or gestures is prohibited.

10.  No campfires on the ground are permitted because of the old landfill areas – gas and charcoal grills can be used carefully with sensitivity to your neighbors and their show vehicles and flea market goods– coals must not be dumped on the ground at any time.

11.  Vendors will have no loud music, radios, stereos, TV, loudspeakers, etc, during the Event.

12.  Generators causing excessive fumes and/or noise are not allowed.  Generators must be vented to a point at least eight feet above the ground and located such that fumes will not be funneled into surrounding occupied areas.  Loud generators must be turned off by 11:00 PM each night.  If two or more Vendors file a complain with the Hornets Nest Region at the Event, about a loud generator running after 11:00 PM (or fumes at any time), this will be sufficient to allow relocation of the Vendor with the offending generator.  The Speedway food service will have generator equipment running at all hours – any Vendor who has a concern can request relocation.

13.  All flea market merchandise, vehicles and tent stakes must be within space assigned.  Aisles must be kept open at all times for emergency vehicle access as required by the Fire Department.  Offenders are subject to being removed from the Flea Market and from future event registration.

14.  All campers and motor homes staying on the property must be self-contained.  Any dumping of gray water will result in being removed from future event registration.

15.  Trash containers are provided on the grounds – please use them to keep your area clean.  When leaving at the end of the event, do not leave trash or junk parts on your space.

26.  Vehicle pass MUST be affixed to the windshield and may not be transferred to other vehicles as a method of bringing unauthorized vehicles into the Flea Market or Car Corral.  Vehicles without a valid pass affixed to the windshield will be subject to towing by the Hornets Nest Region, AACA.  The vehicle pass must be affixed to the driven vehicle.  HNR gate personnel may affix a sticker to windshield of the towed vehicle or the trailer as required.  This is needed to identify any trailer or vehicle left on the flea market space.

Car Hauler - Trailer Use & Parking Area

27.  Car haulers and trailers are allowed on Flea Market spaces, if sufficient space is obtained.  Vehicles that cannot be driven can be left on the hauler/trailer.  The “Car Hauler-Trailer Parking Area” outside Gate 25 is available for Vendors to park Car Haulers, trailers and other vehicles – there is a fee for this permit – inquire at the HNR Registration Tent.  Secure trailers and other vehicles well.  There is no security in this area at any time and you park strictly at your own risk.

Physically Impaired (PI) Convenience Vehicles

28.  One person, three or four wheeled, Physically Impaired (PI) convenience vehicles or wheelchairs do not require any permit and are admitted through the Speedway gate without question – this applies to public and Vendors.

29.  The Hornets Nest Region, AACA has been instructed by Lowe’s Motor Speedway that Vendors and members of the public will not be allowed to operate golf carts on Speedway property.  This also includes the physically impaired.  The Speedway’s insurance carrier is now requiring a very stringent management of non-street licensed motorized vehicles, such as golf cars, used on speedway property.  This applies to all events promoted on Speedway Motorsports properties, which includes Lowe’s Motor Speedway.

30.  Security will be provided, after hours, by Lowe’s Motor Speedway for the entrance gates – plus roving security after hours in the Flea Market and Car Corral.  This security is primarily to take care of Speedway property and be available for emergencies.  Event participants are responsible for securing their own property.

31.  After sundown, moving vehicles and persons walking are subject to challenge by Speedway security to make the property safe.  Use Underpass Gate 26 for Exit-Entrance after hours.  You must have proper credentials on the vehicle and for each person in the vehicle.

Car Corral – Car Hauler Policy

32.  Only drivable cars/pickups are permitted for sale in the Car Corral.  Car haulers can deliver on Thursday, only.  Car haulers cannot come in again until after 11:00 AM on Sunday.  Can haulers cannot come into the Car Corral on Saturday night.

36.  No demonstration of car covers of any kind or parts for sale of any kind or raffle sales are allowed in the Car Corral, unless approved by HNR in advance of opening day.

37.  All vehicles in the Car Corral must have vehicle pass properly affixed to the front windshield and the vehicles must be located on the owners Car Corral spaces or they will be towed – continued disregard will result in the loss of future Car Corral spaces.

38.  Car Corral spaces will not be sold for car haulers and trailers.

39.  Car haulers and trailers will be allowed to unload in the Car Corral until sundown on Thursday ONLY and then must be taken outside Speedway Gate 25 to the I-600 road and the “Car Hauler Parking Area”.  Each car hauler must have the special “CAR HAULER PERMIT” sticker affixed to the windshield for admittance to the Car Corral on Thursday and Sunday only.  NO free parking space is available inside the Flea Market or Car Corral for car haulers and trailers – they will be towed if left unattended in the Flea Market or Car Corral.

40.  Vehicles on car haulers must be unloaded, Friday and Saturday, in the “Car Hauler-Trailer Parking Area”.  Car Haulers may be brought in again on Sunday to reload vehicles as needed.

41.  Each driven vehicle must have the proper sticker affixed to the windshield.  Car Corral spaces are 10x20 and the vehicle must be on the space.  Any Vendor who violates policy by being outside of his space and not having the proper Car Corral sticker is subject to losing renewal rights and may be removed from the current Event.

Dogs and Pets

42.  Public admission does not allow bringing dogs and pets on the grounds; however, Vendors are allowed to have pet dogs or cats in their vehicles on their spaces.  "Service Dogs" as pack animals are allowed.  Potentially threatening animals, used for guard duty, such as Pit Bulls-Dobermans-Mastiffs, etc., are not allowed at any time.  Do not walk pets to other Flea Market locations - you must clean up after your pets.  Barking dogs are a nuisance to everyone.  Violations of these items will result in a loss of flea market spaces.

Space Administration

43.  Spaces for an upcoming Event may be transferable between parties if the Hornets Nest Region, AACA office is notified in writing at least fourteen calendar days before the event opens.  There is a fee charged for each space transferred -- HNR reserves the right to reject a transfer and reassign spaces for other use.

44.  The Hornets Nest Region, AACA reserves the right to relocate any Vendor or Car Corral space as necessary, in its view, for any purpose.

45.  The Hornets Nest Region, AACA reserves the right to reject application for space rental or renewal on the basis of unsatisfactory personal conduct, behavior or for merchandise that does not fit within the scope of the event.  These determinations to be made at the sole discretion of the Hornets Nest Region, AACA.

46.  No raffle sales or charity solicitations are allowed in the Flea Market, Car Corral or Car Show without written approval of the Hornets Nest Region, AACA, in advance of opening day.

47.  North Carolina law requires each Vendor with a Flea Market space to have a ‘Sales and Use Tax Number’ from the NC Dept of Revenue, PO Box 25000, Raleigh, NC 27640-0100.  This is the Vendor's responsibility.

48.  Refunds may be considered only when a written request is received in the Hornets Nest Region, AACA office thirty calendar days before the event opens on Thursday.  Approved refunds will be made after the event is over – allow forty-five days for refund receipt.  No refunds will be made to anyone who is removed from the event for cause.

49.  Refunds will not be made if all or any part of Charlotte AutoFair Spring Meet or Fall Meet is canceled or rescheduled in cases of national emergency, acts of God including hurricanes or storms, war, terrorism, and/or responses thereto, government regulations, disasters, strikes, civil disorder, or if Speedway Motorsports and/or Lowe’s Motor Speedway pre-empts any part of the property for uses other than Charlotte AutoFair Spring Meet or Fall Meet.
